ROLE OUTLINE :
 
We are looking to hire an energetic, organized and customer focused individual. The role of this individual is to contribute to the achievement of the advisor's practise goals by managing and executing all administrative, client service, and advisor support functions.
 
Position Reports to: Senior Financial Advisor
 
RESPONSIBILITIES:
 
Practise and Account Administration
 
*Schedule and confirm all appointments for advisor
*Process⁄execute investment & insurance transactions⁄paperwork with a high degree of accuracy
*Perform and manage a diligent follow up system for all processing
*Word processing of all correspondence
*Maintain client files and databases (Maximizer)
*Manage administrative projects
*Perform meeting preparation and research
*Construction of retirement projections
*Input, compile and regularly update lists and databases
*Miscellaneous and general office duties
 
Client Servicing & Marketing
 
*Research and resolve all processing and customer services enquiries
*Build and maintain long term client relationships
*Provide excellent customer service in a pro-active, professional and friendly manner
*Provide sales support such as preparing expense reports, mailers, etc.
*Assist with marketing projects (including newsletters, client seminars, e-mail campaigns, and preparing all marketing correspondence, etc.)
*Assist in the implementation of  practise development activities
*Scheduling prospects for appointments
 
QUALIFICATIONS REQUIRED:
 
Minimum 3 years experience as a financial planner's assistant or 5 years of related administrative experience in the financial planning or brokerage industry
IFIC Canadian Funds Course a definite asset
Must have mathematical aptitude
Must have superior verbal, and written communication skills
Must have strong interpersonal skills and the ability to interact and build relationships with clients and branch personnel.
Good problem solving and analytical abilities
Must have strong organizational skills and embrace a structured approach to business practises.
Excellent time management and multitasking abilities
Demonstrates attention to detail and a high degree of accuracy in work
Strong proficiency in Windows based applications including MS Word, Excel, Power Point. Knowledge of Maximizer an asset.
